Two documents separate what a listing claims a property earns from what it actually earns: the rent roll and the trailing twelve-month operating statement, or T-12.
Both are provided by the seller. Neither is audited. And both are compiled by someone whose job, in that moment, is to make the deal look as good as possible — which is a very different job from telling a buyer the truth.
This is not a document to skim once and file away. It is the primary evidence in the case for or against the deal, and it needs to be read like evidence, not marketing.
Rent Roll Red Flags
Lease Expiration Clustering
When a large share of leases expire inside the same two- or three-month window, the buyer inherits a concentrated re-leasing and vacancy event, not a stabilized income stream.
Wide Loss-to-Lease Gaps
A large gap between current rent and market rent can mean upside from turnover — or it can mean long-tenured residents who will move rather than pay a market-rate reset.
Chronic Delinquency Patterns
A rent roll where a meaningful share of units carry a persistent balance every month describes a collection and management problem, not a one-off.
Non-Arm's-Length Occupants
Employee-occupied or related-party units listed at below-market or $0 rent distort what a new owner will actually collect.
The Reconciliation Checklist
1. Match Roll to Bank Deposits
Trace 3 recent months of bank deposits against rent roll collections.
2. Pull Signed Leases for Top Units
Confirm term, rent, and concessions match the summary roll.
3. Cross-Check Utility Bills
Compare invoices to the T-12 line to catch coming resets.
4. Rebuild NOI From Sources
